AI Agent: Build approval workflows

Build approval workflows in conversation instead of manually working through the setup in Admin.

EvolutionX Approval Workflows let you control who can place orders, how much they can spend, and who must approve purchases. With the AI Agent, you can design a workflow in conversation instead of clicking through every Admin screen yourself.

The agent uses interactive option cards in the chat — you pick choices such as workflow type, approvers, and limits step by step. When the design is complete, the agent creates the workflow through Admin after you confirm.

What the agent can help with

  • Starting a new approval workflow from your requirements (“Two-step approval for orders over $5,000”)

  • Choosing workflow options via on-screen cards (workflow type, step behaviour, approver rules)

  • Creating the workflow and related configuration through the same Admin APIs manual setup uses

The agent can also read existing workflow information when your user has customer access — listing and viewing workflows is not tied to the same pre-release flag as building new ones.

What to expect in Admin

After a workflow is created, manage it like any other approval workflow:

  • Review steps and approvers in Admin

  • Assign users and test with a pilot account before broad rollout

  • Coordinate with your EvolutionX rollout contact if you enable workflows store-wide

If your store already uses approval workflows, enable the AI workflow builder at the same time you roll out workflow changes so admins get a consistent experience.

Permissions

  • Creating or changing workflows through the agent requires the store pre-release flag below and appropriate Admin access.

  • Viewing workflows follows your normal customer module permissions.

Always verify approvers, thresholds, and user assignments in Admin after the agent

finishes.

Tips

  • Describe the business rule first (“Managers approve over $1k, directors over $10k”), then refine with the option cards.

  • If the conversation stops partway through, you can ask the agent to continue from the last step — completed steps are remembered for that workflow intent.

  • Double-check option card selections before final confirmation.
